Rental agents often review the first serious messages they receive. Keep your reusable message ready, make it easy to scan, and adjust the listing-specific version before you send it.

Replace these placeholders

  • {address}: the address or listing title, for example "Jan van Galenstraat 962".
  • {company_name}: your employer or future employer.
  • {employment_start_date}: your start date, or "currently" if you already work there.
  • {job_title}: your role or occupation.
  • {optional_employment_or_income_summary}: add a short work or income sentence only when it helps or when the listing asks for it. Otherwise, remove the sentence.
  • {full_name}, {email_address}, and {phone_number}: your own contact details.

Recommendations

  • Keep the message polite and direct. Agents often read many applications quickly.
  • Use the exact property address so there is no confusion about which listing you mean.
  • Save your finished version here so you can copy and paste it without rewriting it each time.
  • Add a small personal detail if it is relevant, but avoid long stories about hobbies or background.
  • Only include financial details when the listing asks for them or when you are comfortable sharing them at this stage.
  • Only include income or employment details you can support with documents if requested later.
  • If you know the agent's name, replace "Dear Sir/Madam" with their name.
  • Attach documents only when the listing asks for them. Otherwise, offer to provide them.
  • Do not send identity documents, bank statements, or deposits before you have verified the listing and the recipient.

Address placeholder

Use {address} as the placeholder while drafting. Listing detail pages replace it automatically when the address is available. If a listing has no address, the placeholder stays in the draft so you can replace it with the listing title, street, or area before sending.

Shorter version

If the listing platform limits message length, keep only the property address, viewing request, one useful profile sentence, and contact details.
